Conflict Resolution Request

Welcome to the Conflict Resolution Request Form. Our organisation values a harmonious and respectful work environment, and we are committed to addressing any conflicts or concerns you may encounter. This form is designed to guide you through the various channels available for resolving issues, whether your complaint is formal or informal. Depending on the nature and direction of your concern—whether it’s related to a colleague, a member of the HR team, a client, your supervisor, or a senior leader—there are multiple streams of action to ensure your voice is heard and your concerns are addressed appropriately. Please provide as much detail as possible to help us assist you in finding the most effective resolution pathway.

Formal Complaints:

  • Documentation: Formal complaints require a written submission, leading to an official record within the HR system.
  • Investigation: They prompt a structured investigation by HR, which may include interviews, documentation review, and other relevant inquiries.
  • Outcome: Formal complaints typically result in official outcomes, such as written reports, corrective actions, or potential disciplinary measures.
  • Confidentiality: While every effort is made to maintain confidentiality, certain details may need to be disclosed during the investigation process to ensure a fair and thorough resolution.
  • Follow-Up: Formal complaints are followed by documented follow-ups to ensure the issue has been adequately resolved and any necessary changes are implemented.

Informal Complaints:

  • Flexibility: Informal complaints can be made verbally or in writing and offer a more flexible, less structured approach to resolving issues.
  • Immediate Resolution: They are often addressed through direct communication or mediation, aimed at achieving a quick and amicable resolution.
  • Confidentiality: Informal complaints are treated with high confidentiality, and details are generally shared only with those directly involved in resolving the issue.
  • No Official Record: Informal complaints do not result in a formal record or investigation unless the situation escalates or the employee requests further action.

Complaint Types: A Team Member

Policy: Complaints regarding a team member should be initially addressed informally, if appropriate, through direct communication or mediation facilitated by HR. If the issue persists or is of a serious nature, employees are encouraged to file a formal complaint. All complaints will be handled with confidentiality and sensitivity to protect the privacy and dignity of all involved parties. Procedure:
  1. Attempt informal resolution through discussion or mediation.
  2. If unresolved, file a formal complaint through HR.
  3. HR will conduct a fair and thorough investigation.
  4. Outcomes may include mediation, retraining, or disciplinary action as appropriate.

Complaint Types: A Senior Manager

Complaints involving senior managers, including issues related to leadership decisions, policy enforcement, or conduct that affects the wider team, fall into this category. Reporting concerns about senior management helps maintain a high standard of accountability and ensures that leadership practices align with our organisational values.

Complaint Types: A Client

Complaints regarding clients, including inappropriate behaviour, unethical demands, or issues affecting your ability to perform your duties, can be reported here. We strive to support our employees in maintaining professional and respectful interactions with clients and will take necessary steps to address and resolve any concerns to ensure a safe and productive work environment.

Complaint Types: HR

If you have concerns about the conduct or actions of HR staff, such as mishandling of confidential information or unfair treatment in the resolution process, this category is for you. We are dedicated to maintaining a transparent and trustworthy HR department and welcome feedback to improve our processes and uphold our commitment to fairness and integrity.

Complaint Types: An Upline Manager

Issues with an upline manager, including unfair treatment, unaddressed grievances, or management practices that negatively impact your work, can be reported under this category. We are committed to ensuring that all employees receive fair and respectful treatment from their managers and that any concerns are addressed with integrity and confidentiality.
